Manage a busy calendar with an AI assistant

Use Praxa to organize work and personal calendars, spot conflicts, protect travel and care time, and prepare schedule changes for your review.

A useful calendar shows what your day can realistically hold, including the time between commitments. The Praxa AI assistant can help organize calendar information you share or make available through a supported connection. Use this workflow to prepare a clear schedule, identify clashes, and propose changes you can review. It works for people balancing paid work, study, caring responsibilities, appointments, or several calendars with different owners.

Start with the calendars you actually use

List each relevant calendar, its owner, and whether it is personal, shared, or work related. Give Praxa access through an available supported connection, or share an export or a simple event list. State the date range and when the information was last updated. A screenshot can provide a starting point, but missing event details should remain unknown. Include commitments that never made it into an app, such as school pickup, a recurring commute, or time needed to help a relative.

  • Share event titles only when they are needed; a private busy block can be enough.
  • Distinguish events you organize from invitations controlled by someone else.
  • Keep separate calendars identifiable so proposed changes have a clear destination.

Put time zones and buffers on the same footing

Name your main time zone with a place-based identifier, such as America/New_York, and preserve the original zone of remote meetings. Ask Praxa to show a dated local time for any event involving another region. This matters around clock changes, overnight shifts, and travel. Add realistic preparation, travel, recovery, and transition buffers. An appointment that ends when a school pickup begins is a conflict even when the calendar boxes do not overlap. Treat all-day events separately from timed commitments.

Choose which commitments can move

Classify items as fixed, movable, tentative, or waiting for confirmation. Explain what makes an event important instead of asking Praxa to infer priorities from its title. A paid shift, medical appointment, and promised childcare handoff may all be fixed for different reasons. Ask for two or three feasible resolutions when commitments clash. Include who would need to agree, what notice is available, and which work would be displaced. Keep tentative holds visible without presenting them as confirmed availability.

Try a request like this
Review the event list I have shared for next week. Use America/New_York as my home time zone and show the original time zone for remote meetings. My paid shifts and school pickup are fixed; personal admin blocks are movable. Allow 30 minutes of travel before and after in-person appointments and protect the sleep periods listed in my notes. Find overlaps, missing buffers, and days with too little open time. Propose a revised schedule and explain each change. Mark missing information and invitations controlled by another organizer. Prepare the changes for review without editing calendars or notifying anyone.

Review a proposal that explains the tradeoffs

Ask for an exception list before a full calendar rewrite. A short table makes it easier to see what changed and why. Each proposal should retain the original event, identify the affected calendar, and show the suggested alternative. The illustrative examples below use local times in one time zone; they are not real availability. When an event has guests, the table should also say whether changing it would notify them or require the organizer to send an update.

Approve the exact event changes

Review the event identifier or link, account, start and end time, time zone, guests, location, and notification behavior before a calendar change proceeds. For a recurring event, specify whether the change applies to one occurrence or the series. Editing depends on the available tool and your permissions; otherwise apply the proposed changes in the calendar yourself. Read the provider result afterward. A prepared schedule, attempted edit, or unanswered invitation is not evidence that everyone has accepted the new time.

Use a light review instead of constant reshuffling

Once the calendar reflects your priorities, request a bounded weekly review or an explicit scheduled mission. Define which calendars it may use, the review time and zone, and what deserves attention: a new conflict, a changed location, or an unconfirmed commitment. Ask it to preserve existing plans when no meaningful change is needed. If an edit fails or its outcome is unclear, check the current event before retrying. Revisit buffers after a difficult week rather than filling every gap with another task.

Common questions

Can Praxa see my calendars automatically?

No. Share the relevant events or use an available supported connection with the permissions you choose. Praxa may be able to read one calendar without being able to edit it. Ask which account and calendar are available before relying on a schedule review.

How should I handle work and family calendars together?

Provide enough information to detect conflicts while keeping private details separate. A work-facing plan may need only a busy block for a family commitment. Identify who owns each event and approve the destination and recipients of any shared summary or calendar update.
